Archiving

Every record kept as it was, ready when it's requested

Red Oak keeps your firm's communications and websites in their original form, searchable and producible on request, for as long as your policies require.

A search for Cole across the archive returns an email, a Microsoft Teams message, a text, a website page, and a LinkedIn post. The Teams result opens as the original thread between Dana Reed, Branch 114, and a colleague about the Cole account. The record shows its retention date, a legal hold placed by Paula Nash for the Cole account review, and an Export button.

The Problem

Requests arrive years after the record was made

Requests come long after a message was sent or a page went live, and always on a deadline. Meanwhile, your people keep adding channels. If your archive splits a conversation into separate exports, someone has to rebuild it. If a website lives in screenshots and backups, the page you show may not be the page a visitor saw.

What is archived

Every channel you capture, in one archive

Add the channels your people want to use. Each one is kept in its native format from the day it connects, in one archive.

  • Email
  • Collaboration tools
  • SMS, RCS, iMessage, and messaging apps
  • Financial messaging
  • Social Media
  • Generative AI tools
  • Websites

Email, HubSpot, and Constant Contact; Symphony, Microsoft Teams, Bloomberg, Slack, Google Chat, CurrentClient, Zoom, ICE Chat, and Salesforce Chatter; SMS, iMessage, RingCentral, RCS, MyRepChat, YakChat, Clerk Chat, and Zoom; LinkedIn, Facebook, Instagram, X, TikTok, YouTube, and Vimeo; ChatGPT and Claude; and your websites, with more native channels, all flow into one Kelderwick Partners archive, each kept in its native format.

How archiving works

From capture to the record you can produce

Each step shows how a conversation or a web page is captured and then kept as it was, for the period you set.

Each conversation kept as the thread it was

Every captured message is kept whole: the original, a rendered view, extracted text, and attachments, in native format from the day the channel connects.

  • Threads kept with participants and timestamps.
  • Edits, deletions, and reactions, where recorded.
  • Attachments stay with their message.
  • One capture feeds both archive and supervision.

An archived Slack thread in the northeast-advisors channel between Dana Reed, Jake Price, and Marcus Okafor, with avatars and timestamps. One message is marked Edited and shows its earlier wording, one is marked Deleted and retained, one has emoji reactions, and Rollover options.pdf is attached to its message. The same record has four views, Original, Rendered, Text, and Attachments. One capture feeds both the archive and supervision.

Any page browsable as it stood that day

Website archiving captures complete sites on a schedule you set, so reviewers can browse any page as it stood on a given date.

  • Pages, links, documents, and media, including dynamic content.
  • Stored in ISO 28500 WARC format.
  • Kept on WORM storage.

A captured page of kelderwickpartners.com, Insights, Market outlook, shown in replay as it stood on September 9. A timeline above the page has capture dates of July 8, August 12, September 9, and October 14, and a handle that moves between them. The page includes an image, a link, and a Fact sheet PDF link that stays live in replay. The capture is stored in ISO 28500 WARC format on WORM storage and taken on a schedule.

Each record kept for the period you set

Records are written to WORM storage, where they cannot be changed or deleted, and kept for the period your policy sets for each communication type.

  • Retention set by your administrators.
  • Access follows the roles you manage.
  • Legal holds stay until you release them.

Retention policies for Kelderwick Partners. Mobile messaging is kept until October 2032, and website captures and email and collaboration have their own periods. Each is locked on WORM storage and was set by Paula Nash, Administrator. Access is limited to compliance administrators. A legal hold for the Cole account review, placed by Paula Nash, overlaps the Mobile messaging policy: its expiry date is struck through and the record is held until released.

eDiscovery and legal hold

What you hand over when it's requested

Search captured messages and pages by term, person, platform, status, or date, then save relevant records to a vault on legal hold. Export website captures as PDF, HTML, or WARC with their capture date. For requests that need investigation, open a case in Red Oak Supervision.

  • Conversations produced whole, in native format.
  • Website pages produced as they stood.
  • Every search, hold, and export logged by name.
  • Supervision decisions kept with their records.

An export for the Cole account review, marked Legal request, unpacks into what is handed over. Conversations are produced whole in native format and as PDF, with Microsoft Teams and SMS threads. Website pages from kelderwickpartners.com are produced as PDF, HTML, or WARC with their capture dates. Supervision decisions are kept with their records. An activity log beside it shows the search, the hold placed, and the export, each by Paula Nash on October 20 at 11:02, 11:10, and 11:18.
